1. Start with document identity and version control
Give every specification a stable identity before filling in product details. Use a buyer SKU or project code that both teams can repeat in email subject lines, sample labels and order records. Record the version number, issue date, owner and status.

2. Define the nail base and fit profile
Start with the physical platform because it affects appearance, packaging fit and the way customers select a set. Use clear names, but support names such as short, medium or almond with a supplier drawing, measurable chart or approved physical reference.

If the supplier proposes dimensions or tolerances, record the measurement method as well as the number. A figure without a defined measuring position can create a false sense of precision. Any acceptance limit must be agreed for the actual product and process; this guide does not prescribe universal tolerances.
3. Control color, finish and decoration
Separate color from surface finish. A single color can look different under matte, glossy, translucent, chrome or textured effects. Screens and photographs are useful for direction, but they are not reliable final color standards on their own.

Do not assume that an accessory shown in a reference photo is included. Every item needs its own line, version and quantity. If adhesive, liquid or another regulated accessory is included, the responsible parties should verify documentation and labeling for the intended market before approval.
5. Link packaging, labeling and barcode data
The product specification should reference packaging files without trying to reproduce the entire artwork inside the sheet. Record the exact filename and version for the dieline, insert and instructions. Confirm the packaging structure, dimensions, tray orientation, visible product direction and included items.
The brand owner should verify the product identity, GTIN allocation and market-facing copy. The supplier can check that the printed barcode and text correspond to the approved artwork, but should not invent legal statements or assign a retail product identity without authorization. GS1 maintains rules for when a product change may require a new GTIN; use those rules and qualified market advice for the actual launch.
